Zoho CRM has layers: workflows (declarative rules), blueprints (state machines), approval processes, and custom functions (Deluge scripts). Each fits a different shape of problem.
Workflows
Trigger on create/edit/field update. Actions: field updates, notifications, tasks, webhooks, custom functions. Keep the trigger narrow — broad triggers fire often and clutter logs.
Blueprints
State machine for record lifecycle. Stages with required fields, validations, and transitions. Ideal for deal progression or onboarding flows where stage gates matter.
Custom Functions
Deluge scripting extends anything. Called from workflows, buttons, or schedules. Pair with client-side scripting for richer UX.
Governance
Inventory automations quarterly. Orphaned workflows (no owner, no purpose) accumulate. Deactivate before deleting; keep a 30-day grace.
